Town
The town is selected from a drop down list. This list is constructed from addresses previously entered in your Solo or Origin instance. Should the town name you require not be included in the drop down list then a new name can be specified as follows:
- Select 'New town...' from the drop down list. This will result in a text box appearing to the right of the drop down list.
- Enter the name of the new town in the text box.
Key Code
Enter the key cabinet code associated with this property.
Opening Landlord Balance
This field is used when adding a property to Origin that your letting agency has been managing for some time.
If this is a new property to your letting agency then leave the Opening Landlord Balance at 0.
If this is a property that you have been managing for some time and you do not wish to retrospectively add all historical property transactions then simply add the current property balance, i.e.
Property Balance = Rents Paid - Expenses Incurred - Agency Fees Applied - Payments made to Landlord
Opening Balance Date
This is a date for which the Opening Tenant Balance and Opening Landlord Balance figures were valid.
Finders Fee
This is a one-off fee applied by the letting agency to the associated landlord account if the letting agency was instrumental in securing the property for the landlord and for which a fee is now due.
If no such fee should be applied then leave this value at 0.
Management Fee
This is the management fee that is to be applied to the property by the letting agency.
It is either a percentage of the rent or fixed numerical figure (depending on how your RentPro instance was configured.)
Notes
These are notes that are visible to letting agency staff only. Such notes are not visible to users with landlord access only.
All notes are timestamped along with a record of who they were added by.
Property notes are non-editable.
Additional Property Information
After adding a property instance Solo and Origin will guide you to edit mode where you can enter additional, optional information relating to the property. This additional information serves a variety of purposes - mainly when the property is vacant and your agency is seeking a suitable tenant:
- Vacant properties can be displayed on your agency website;
- Both Solo and Origin allow you to generate brochures for property instances;
- Vacant property information can be automatically uploaded to portal sites such as rigthmove.co.uk
This additional information is recorded and detailed the Details tab.
The details tab facilitates the entering of a full property description, such as type, location and common features.
Note that the Deposit, Rent and Frequency fields are used for descriptive purposes only, e.g. for property brochures, etc., and will not be used to calculate rent balances for the associated property. Such balances are calculated from information derived from tenancies associated with the property instance.
